How to use mailMonk Item email

Install the app and add sender emails
Skip this if you are already familiar
Go to monday.com marketplace to install the mailMonk app. After clicking on the Install button, you can choose which workspace to add the app. Choose all workspaces or any specific workspace you want.
Once you have installed the app, go to a board. Click on the plus icon next to the main view to add a view. Click on apps. Choose mailMonk from the available options.

If you have not authorized the app already, it will take you to the monday.com oauth screen to ask for necessery permissions. Once you click on accept, app will redirect you to the start page.
If you have already given the required permissions, you will land on the start page.

Create or manage email accounts
To be able to send emails, you need to add atleast one sender email to mailMonk app. You can add more sender emails to be able to send email from those emails as well.
Lets see how to add a sender email.
Click on “Sign in with Google” button. This will open the google signin popup.

Select the permission that says “Send email on your behalf”.

Click ok. Now the email will be added to your mailMonk sender emails list.

You can repeat this process to add more sender emails to your account.
Compose New Email
Lets compose a new email from the Item View.
Open the item view for any item. Switch to the mailMonk Item view app.

If you have not added the mailMonk app to the Item view, you can click on the “Add view” + icon, then click on “Explore more views”. Now search for mailMonk in the search bar.

Now that you have added the mailMonk Item view, you will see below screen. Click on “New email” button.

Compose email screen should open like below.

On top right you have the option to select the sender email from which you want to send this email.
Then you have the mandatory To email field.
To field
Here you can type an email address and then hit Space or Enter in the keyboard, to add this email.
Or you can select from the existing emails from your board. Click on the little arrow button next to “To:”.

This fetches emails from Email columns of the item and people columns.
You can use these emails or simply type an email and hit space or enter.
CC and BCC
Click on the cc and bc buttons to toggle showing the cc and bcc field.

You can click on these buttons again to hide the cc and bcc fields.
Please note, even if they are hidden, if the fields contains valid emails, they will be added to recipients for this email.
Subject
Now you can write the subject. Optionally you can add emojis or merge tags (columns from the item) to your subject.
Merge tags – When you click on merge tags icon next to the Subject field, it will present you the available columns from your monday board. When you select one, it will add the tag to the subject input field. Do not edit this merge tag but you can change its placement. For example:
Welcome to the team {{name}} can be Welcome {{name}} to the team
Do not remove the curly braces around the merge tag, else it will not work.
Here is the list of supported monday columns that can be added as merge tags:
- status
- date
- text
- formula
- file
- numbers
- people
- dropdown
- timeline
- tags
- rating
- vote
Body
Lets add some content to your email body. The rich text editor allows you to craft a perfect email for every occasion.
You can add merge tags to the body, by clicking on the merge tag icon next to the attachment icon in the item view footer.
You can choose to enable tracking.
For alignment styling, you have 2 options. Choose between standard email style vs Newsletter style.

Now you are ready to send the email. Hit send, and wait for the email to be sent right away.
Email Templates
You can save the email subject and body as template for your team to use later.
Type in a subject and email body. Click on Templates from bottom right, then click on “Save email body as new template” . Give a name to the template and hit save.
In future, you can add an existing template by hovering the mouse on the template from the list view and click on the tick icon.

Email List View
Once you have sent an email, the sent email will appear in the email list view.
This view shows all sent emails. Recent ones will show first.

You can click on the refresh icon available at top right, to refresh the list.
If your mailMonk plan eligible for “Email thread” i.e receiving and replying to emails, then you will see a send-receive arrow icon for the list item which is an email thread.
Reply Emails
Now we will see how to reply to emails right from the item view.
First you need to be on an eligible mailMonk plan that supports email thread (or receive and reply emails).
Currently, we only support this feature for outlook sender emails. Gmail support will be available soon.
If the sent email from item view is eligible for thread, then you will see the send-receive arrow icon for the sent email in the list view.

When you click on this sent email, you will see the email thread view like this.

You can see all the incoming and outgoing emails in this thread.
You can reply to this thread by clicking on the reply or reply-all icon.
